ALL USERS: How do I set-up and access preferred language Zoom AI captions?

Summary

This article shows how meeting hosts can enable meeting participants to access the Zoom AI language translator tool for captions. It also shows how participants can select translated captions in Zoom meetings and webinars in their preferred language.

Body

All BSU members have the option to select translated captions in Zoom meetings and webinars in a preferred language. This feature first requires the meeting host to enable the option for their meetings. Zoom uses AI to take spoken audio and give translated captions in real time, making it easier to communicate with colleagues, students, and guests who speak different languages.

Host's Meeting Settings

Meeting hosts can enable participants to select a preferred captioning language of their choice. Each participant sees only the captioning in the one language they select.

Prerequisite: Meeting hosts must be full time BSU employees to enable translated captions in their meetings.

  1. Sign into your Zoom profile at https://bridgew.zoom.us/

  1. Click your profile picture or icon in the upper right corner. Select Settings.

  1. In the far left navigation bar, click Meeting.

  1. Select In Meeting (Advanced) to the right of left navigation bar.

  1. Toggle on Automated Captions, Automated captions on device, and Translated captions.

  1. Schedule your meeting as the host.

Note: Only full time employees have the option to select Translated captions. This feature is not available and will not work for meeting participants if part time employees or students are the meeting host.

Participant Steps to Select their Preferred Language

  1. In the horizontal menu bar at the bottom of the participant’s view, click More.

  1. Select Show captions

Zoom meeting toolbar menu with "More" selected and "Show captions" highlighted.

  1. Back to the horizontal menu bar at the bottom of the participant’s view, click the caret icon for what now reads as Hide captions.

  2. Click the caret at the end of My caption language, and select your preferred language for reading captions. The captions are translated live as the presenter speaks.

Note: The participants option to select a preferred caption language will not work properly unless the meeting host has set their profile settings to enable it.
