Email Advisees Using the Email All Function

Important Notes: 

1. Microsoft Outlook must be set as the default application on the device you use to email advisees. Do not use the web version of Office 360 or another default email application.  

2. Instructions on how to set Outlook as the default email application on your device can be found Here for Mac and Here for PC

3. Pop-up blockers may prevent the function from opening. You may see a blocked icon or message in the url. If this happens, change your settings to allow popups from this site so you can use the Email All function. 

4. A large number of advisees typically over 75 can affect whether the Email All function works successfully. Use the export option below as an alternate method.

Instructions: 
1. Go to Web for Faculty and select the Advisee List, Student Search, or Student Profile link on the Faculty and Advisors menu. 
2. Select the correct term, then click View My Advisee Listing. 
3. Select the Email All function. Advisors may apply a filter first to email only specific groups.
 
Two windows will open: a white box first, then your default email window with all advisee email addresses in the bcc field. Sent emails will appear in Microsoft Outlook’s Sent folder.

Email Advisees Using the Export Function

Important Notes: 
1. Different browsers have different download settings, so be sure you know where files are saved when you download them. 
2. Pop-up blockers may prevent the export function from opening. If blocked, change your settings to allow popups from this site so you can use the Email All function. 
 
Instructions: 
1. Go to Web for Faculty and select the Advisee List, Student Search, or Student Profile link on the Faculty and Advisors menu. 
2. Select the correct term, then click View My Advisee Listing. 
3. Click the gear icon in the top right corner. 
4. Select Export Advisee Listing. 
5. Select the XLSX option and click Export. 
6. Open the Excel file from your downloads.

The location depends on your browser settings. For example, Chrome may show it in the bottom left, Edge may show it in the top right, and some browsers save it to a download folder. The Screenshot below shows Edge. 

7. The last column ( R ) contains the student email addresses. 
          a. Select and copy the student email addresses. 
8. Paste the student email addresses into the bcc field of your open email window.
