Requesting a Claude.ai Team (paid) License
Bridgewater State University’s IT Department centrally manages Claude Team licensing (a paid model). If your department would like to purchase a paid license of Claude Team, follow the steps below so IT can process payment and provision the license.
Please note: Claude personal accounts (Pro, Max 5x, and Max 20x) are not permitted for University use. Anthropic charges sales tax on individual Claude accounts, and they do not allow schools or institutions to submit tax-exempt documentation for those plans. To ensure compliance with University purchasing policies and take advantage of tax-exempt institutional billing, all Claude usage must be through the centrally managed Claude Team license.
1 | Send the User List
Complete the Request New License(s) form to identify anyone from your department who needs a Claude Team license.
2 | Transfer the Funds
After you complete the submission process, your email client should open with the details of your license and the budget transfer. Per that email, you will submit a one-time budget transfer to Information Technology for the current fiscal year using the Budget Transfer Form. The annual cost is $240 per user ($20/month × 12 months), prorated if the subscription is for less than a full year.

4 | Provisioning by IT
IT will assign assign the user(s) a license in our Bridgewater State University Claude Team workspace. The user(s) will receive a confirmation email once provisioning is complete, which should take no more than 1-2 business days.
5 | Log In Steps
For Claude Team users: You will log into Claude Team using your BSU account email and password.. All users --whether this is your first Claude account or you are upgrading an existing account, should log in via Microsoft SSO. See instructions below.
Enter your BSU email address in the Email address field and click Continue with SSO.

You will then be prompted to log into BSU using your existing BSU credentials.

NOTE: Anthropic doesn't permit you to merge your personal Claude account workspace into the BSU Team workspace.
If your personal plan was a paid plan (e.g., Pro or Max 5x), when your paid subscription expires, your plan automatically downgrades to a personal Free plan. You will retain your prior chat history and any artifacts you created on that individual account.
Once downgraded from a paid personal plan to a free plan, you will lose access to Projects (Projects are paid-only). Additionally, if a published artifact uses persistent storage, that storage is only available on Pro, Max, Team, and Enterprise (not Free). Thus, on Free you can still view the artifact, but you won’t have persistent storage for it. Any associated storage data will be permanently deleted for unpublished artifacts (https://support.claude.com/en/articles/9487310-what-are-artifacts-and-how-do-i-use-them).
