Preparing Documents for Virtual Commons

Faculty who edit or submit BSU publications to Virtual Commons are responsible for preparing their files for accessibility review. The guidance below applies primarily to publications created in Microsoft Word or Adobe InDesign.

The guide addresses common accessibility practices, including:

  • Applying heading styles and maintaining a logical document structure
  • Checking text and background color contrast
  • Providing alternative text for images, charts, and other visuals
  • Exporting accessible files from Microsoft Word and Adobe InDesign

Maxwell Library staff will complete a brief accessibility review before publishing a submitted document in Virtual Commons. If revisions are needed, library staff will contact the editor with additional guidance.

Keep your original Word or InDesign file until the publication is live. Correcting accessibility issues in the original document is generally easier than remediating an exported PDF.
